Books Cleanup

Books Cleanup for Small BusinessBills that are still open

A line that left the bank is not a bill that was entered and then closed.

List what is open.

The bank is not the bill book.

Owners pay from the bank because that is where the cash is, and the payment feels like the end of the story. The bill book is a different story. If the check never passed through a bill, the open list is empty for the wrong reason. If old bills were entered and never matched to those payments, the list is full of ghosts.

The packet asks for the list itself. Names can be covered when you send it. What we need to see is whether a list exists, and whether the payments were entered as bills or typed straight onto the bank. That one answer changes the size of the work.

A room that keeps every old ticket.

A drawer full of paid receipts can feel like a closed month, because nothing was thrown away. A night that was paid and a bill that was written are different objects, and a stack of payments never becomes a closed list on its own. The list is the paper. The drawer is only the evidence that money left.

Send the open list and say, in a sentence, whether checks were entered as bills. A plain note that you are unsure is a cleaner start than a guessed empty.

Three states, and only one is closed.

A bill can be entered and still open. It can be entered and matched to the payment that left the bank. Or it can have never been entered at all, so the payment is the only trace. Only the middle state is a closed bill. The other two are why a reconciled bank can still carry a list that lies.

The packet wants a count of the first state, the ones still open, and a plain yes or no on whether payments were typed straight onto the bank. That pair of answers sizes the work better than a screenshot of the feed. The packet takes its size from those two answers.

Send the open list

The list can have the amounts covered. The shape is what matters.
